Stop asking your team to file things correctly.

Every firm has a folder structure, a naming convention, and a memo explaining both. Most also have a downloads folder with 1,500 files in it. When the structure falls apart, leadership treats it as a discipline problem. They retrain the team or buy a new document platform, and six months later the downloads folder is back.

That folder is a perfectly rational response to how the work actually happens. An advisor saves an agreement mid-call. An associate pulls a statement off the custodian portal. An ops lead drags an attachment out of email. Filing each one properly means stopping to find the client folder, renaming the file, and moving it. Nobody does that every time, and they shouldn’t have to.

At a wealth management firm we work with, roughly 400 of those 1,500 files actually mattered. Client agreements sat in three different places. Manual cleanup had been tried more than once and never stuck.

LEA lets the team keep working exactly the way they already do. Files land wherever they land. LEA picks them up, matches each one to the right client, renames it to the firm’s convention, files it in the right folder, and pulls the compliance-relevant fields into data the firm can query.

Their COO put it simply: “The bulk of the value is not having to rifle around for whatever file to go in. It’s just going to get metadata attached to it and end up in the right place.”

The filing policy was never going to fix this. It was asking people to do the system’s job.
